Project Statement

GDG On Campus JSS recruitment was fragmented across 5+ disconnected tools - Instagram, Google Forms, WhatsApp, spreadsheets, and external platforms. This created 25% candidate drop-off from missed deadlines and zero application transparency, while recruiters spent 40% of their time on manual coordination instead of evaluating talent. The result: talented students eliminated by poor tooling, not merit.

Discovery & Research

As part of the GDG JSS recruiting team, I experienced the chaos firsthand. To validate these weren't isolated issues, I conducted:

✨ 5 recruiter interviews with team members across roles

✨ 30+ candidate surveys from previous recruitment cycles

✨ Workflow mapping of all 5+ tools currently in use

85% of candidates couldn't answer: "Where am I in the application process?"
The top frustration wasn't rejection - it was uncertainty.

Recruiters spent 40% of their time on tasks a computer should handle: copying links, sending reminder emails, manually tracking who submitted what.

Trust was broken. Cheating concerns made recruiters second-guess every remote assessment, but they had no tools to prevent it.

Candidates Pain Points

✨ No single platform and unified process.

✨ Have to open Instagram again and again.

✨ Too many links to open.

✨ Chance of missing important info.

✨ Scattered information leading to missed announcements.

✨ Lack of clarity in application status and progress updates.

✨ Problem arises if wrong credentials/email used.

✨ Aptitude platforms don't work sometimes.

Recruiters Pain Points

✨ Registration links need to be shared manually.

✨ Have to send individually the messages and mails.

✨ Have to make various forms in different platforms.

✨ Resumes are difficult to go through.

✨ D-day mismanagement.

✨ Unavailability of 4th years for HR rounds.

The Solution

Each section was built to address specific pain points validated through research—from scattered registration forms to interview-day data scrambles. The platform creates a continuous thread connecting candidate applications to recruiter decisions, replacing 5+ disconnected tools with one automated system. Here's how each section works and what problems it eliminates:

User Flow

Three-stage progress tracker showing current position (Task → Aptitude → Interview)

Active tasks/tests displayed with clear submission buttons

Real-time status updates replacing Instagram/WhatsApp checking

Candidate Profile

What It Solves: No centralized record of candidate's complete journey.

Key Features:

All social links visible in one place

Task submission history with timestamps

Test scores and interview status tracking

Complete application timeline

Admin View (Recruiter Dashboard)

What It Solves: Manual coordination, scattered candidate data, interview day chaos.

Master candidate list with filterable columns (aptitude score, submission status)

One-click access to any candidate's complete profile

Bulk actions: send interview invites directly from profiles

Automated notifications replacing manual DMs
